This part of your application form asks for information on the Mobility activities you plan to organise and the amount of EU grant you are requesting to implement them. 

Budget information for the activities and their mobilities must be added in the separate Budget section.

Our example below shows how to complete this part of your application form using a Short-term projects for mobility of learners and staff in school education (KA122-SCH) application form

Take note

Questions or fields may vary depending on the action type you apply for and the selected activity. Please read the onscreen information carefully to complete the relevant fields and sections.

This page is relevant for:

  • Erasmus+ Call year 2023
    • KA122-SCH - Short-term projects for mobility of learners and staff in school education
    • KA122-VET - Short-term projects for mobility of learners and staff in vocational education and training 
    • KA122-ADU - Short-term projects for mobility of learners and staff in adult education 

Before you start

  • The Context section must have been completed, indicating at least the project start date and duration.
  • The Participating Organisations section must have been completed, by adding the Applicant organisation and, if already identified, the planned hosting organisations.
  • The Background and Project objectives sections must have been completed.

 

Steps

1. Click on "Activities" 

Click on Activities in the content menu. The Activities screen opens. 

The navigation tree is updated as you add activities to your project. 

Initially it contains: 

  • Activities - This is where you specify which activities you plan. - The table is automatically updated with a summary per activity based on the information you provide when completing the related subsections.
    • Summary of participant profiles. - This table is automatically updated with an overview of participant profiles per activity when completing the subsections.

For each added activity, a subsection with the activity name is added in the Content menu. The applicable sections and fields depend on the action type.

  • Activity Type label - this title will change to the name of the selected activity/activities:
    • Mobility flow definition
    • Mobility flow details
    • Description

Take note

 To gain space on your screen and better view all details and action buttons for an activity, you can collapse the content menu using the dedicated arrow to gain more space on your screen.

2. Add the activities to be carried out

2.1. Add the first activity

An empty row is available by default for the first mandatory activity.

Select the Activity type from the available drop-down list. The Content Menu is updated with a subsection named after the added activity type.

2.2. Add additional activities

For each additional activity you plan to add, click on the Add an activity button at the top of the activity list and select the applicable Activity type from the available drop-down list.
Each activity type can only be added once to a project.

3. Provide detailed information for an activity

3.1. Select an activity in "Content Menu"

Click on the desired activity title in the Content Menu to open the details screen for that activity.

Complete all sections for an activity in due order as some sections depend on answers provided in previous sections. Always start with the Activity type section (the section labelled as the selected activity).

Incomplete activities are marked with a red dot, completed activities are marked with a green dot.

3.2. Fill in the "Mobility Flow" section

Take note

You must complete at least one Mobility Flow per Activity.

In the Content Menu, click on the applicable activity title then and scroll down to the Mobility flow table in the Activity details screen.

Fill in all details for the first mobility flow, as required.

In table 1:

  • Hosting organisation - select an organisation from the drop-down list, if you have defined any in the Participating Organisations section of the form.
  • Number of participants,
  • Duration (in days),
  • Number of accompanying persons,
  • Duration for accompanying persons (only if number of accompanying persons > 0)

In table 2 - Mobility flows details - fill in the following details: 

  • Number of participants with fewer opportunities (0 if none)
  • Tick the Blended mobility checkbox if applicable, indicate that the mobility will take place in a blended format.
  • Tick the Sustainable means of transport (green travel) checkbox if applicable. Specific rates will apply in the grant calculation.
  • Number of non-teaching staff (0 if none) (depending on Activity type)

If required, you can add additional mobility flows, by clicking on the Add button in the top right corner of the Mobility flows table.
Note that you need to provide detailed information for each planned mobility flow in the Budget section as well.



3.3. Fill in the "Description" 

In the Activity details screen, scroll down to the Description section for the selected activity. 

Answer all mandatory questions for the activity.

You must also select which project objective(s) this activity will contribute to, by checking the relevant check boxes. The project objectives weere specified in the Project objectivities section.

4. Overview of the Activities list

Once all details have been entered for all activities, you can verify the consolidated plan by clicking on Activities in the Content menu. 

Key figures specified in the detail for the various activities, as well as the Total Grant are now shown. The values are read-only in this screen, and any changes must be made by updating the relevant activities.

If all activities have been completed correctly but the Activities section is still marked as incomplete (with a red dot), double-checking the activities overview may prove useful. For example, you may have requested more total participants than allowed for a single application.

For this action type the Activities section cannot be completed if the total number of participants for all activities exceeds 30.

5. Delete an activity

To remove an already filled in activity from the list:

  1. Click on the Delete icon for the activity which you want to delete. 
  2. Confirm the deletion by clicking on Delete in the pop-up confirmation window.

When deleting an activity, all entered data for the selected activity, as well as all related mobilities, are also deleted.

6. "Go to" a subsection in the project "Budget" for an activity

In a mobility flow you can jump directly to a subsection of the Budget by clicking on the Go to button and selecting the desired Budget element from the drop-down list.

7. Example of a completed "Activities" section

Once you have correctly completed all sections and subsections, the section is marked with a green check.
