Organisation Registration Notifications for Erasmus+ and European Solidarity Corps 

Registration of organisation in Organisation Registration system

When an organisation has been successfully registered in ORS, a notification is sent to the main contact. The e-mail notification provides basic information on the Organisation.

Here is an example of the e-mail notification sent to the main contact:

Dear <first name> <Last Name>,

The Education, Youth, Sport and Culture Directorate-General thanks you for registering your organisation in our database of organisations that wish to participate in the Erasmus+ and European Solidarity Corps actions managed by National Agencies.
Your organisation has been successfully registered and the organisation´s unique identifier - Organisation ID - is E10000255.

You can now use your Organisation ID to submit an application for an accreditation or grant under the Erasmus+ or European Solidarity Corps actions managed by National Agencies.

If your organisation´s application is selected for a project then your organisation will need to be certified by the National Agency to which you have submitted your application. In this case, your organisation will have to provide supporting documents

As an authorised user, you can manage your organisation´s data and documents through the Erasmus+ and European Solidarity Corps platform.

Other authorised users that you have indicated during the organisation registration process will receive an email message similar to this.

Authorised User added to an Organisation

When a person is added to an organisation as an authorised user, a notification is sent to the email of the person registered in ORS. The e-mail notification provides basic information on the Organisation as well as the user's role in ORS for this organisation.

Here is an example of the e-mail notification sent to the newly added authorised user:

Dear <first name> <Last Name>,

<Authorised User Name> has added you as an authorised user to the Organisation Registration system of Erasmus+ and European Solidarity Corps for your organisation E10000250 - Test-org.AO.01.

As an authorised user, you can manage your organisation´s data and documents through the Erasmus+ and European Solidarity Corps platform.

NA access given to manage your organisation's information

If a National Agency is given access as an authorised user to manage your organisation's information in ORS, an automatic e-mail is sent to all the authorised users of the organisation with the details of the request.

Here is an example of the e-mail notification sent with information on the request and how to process it:

Dear <first name> <Last Name>,

A National Agency user has been added as an Authorised user to the Organisation Registration system of Erasmus+ and European Solidarity Corps for your organisation E10000014 - Organisation Finland.

This National Agency user will be able to manage your organisation´s data and documents through the Erasmus+ and European Solidarity Corps platform.

Authorised User removed from an Organisation

When an authorised user is removed or if a National Agency user has access removed as an authorised user in ORS, an automatic e-mail is sent to all authorised users of the organisation with the details of the removal.

Here is an example of the e-mail notification sent to the authorised user with information that the authorised user has been removed and how to process it:

Dear <first name> <Last Name>,

<Authorised User Name> has been removed from the list of authorised users allowed to manage the details of organisation E10000014 - Organisation Finland in the Organisation Registration system of Erasmus+ and European Solidarity Corps platform.

Change of organisation information

If organisation information, such as Organisation Legal name, Address, VAT, etc. is changed in ORS, an automatic notification is sent to the person who changed the details as well as to all authorised users.

Here is an example of the e-mail notification sent when organisation information has been updated:

Dear <first name> <Last Name>,

You have changed the information of organisation E10000114 - Test School Romania in the Organisation Registration system of Erasmus+ and European Solidarity Corps.

If you think that the information of organisation Test School Romania was changed by mistake or if this email was sent to you in error, please contact the Organisation directly. You can search for the Organisation on the Erasmus+ and European Solidarity Corps platform.

Upload of organisation documents in ORS

If (an updated version of) an organisation document is uploaded to ORS, a notification is sent to the person who uploaded the document, as well as to all authorised users for the organisation.

Here is an example of the e-mail notification sent if new documents have been uploaded:

Dear <first name> <Last Name>,

The following documents of organisation E10000104 - Youth Organisation France have been uploaded successfully:

- Financial Capacity.xlsx Balance Sheet
- Organisation Document.pdf Other

Other authorised users that already exist for your organisation will receive an email message similar to this.
