My Submission(s) is a section under Manage my area in the Funding & Tenders Portal where PCoCo/CoCo defined for a call for tenders can view and follow up the submissions  for open procedures, step one of two-step procedures and initial round of negotiated procedures

To view the Manage my area and access My Submission(s) section, you need to first authenticate yourself. 

The submissions that can be seen under this section depend on the procedure type / step of the procedure. You can perform different actions based on the status of the submissions and the deadlines for the call for tenders in which you have participated.

(info) The submissions for second step of two-step procedures, subsequent round(s) of negotiated procedures and request for specific contract procedures can be managed by PCoCo/CoCo in My Invitation(s) section.

View submissions 

You can view your submissions along with their details and status under the My Submission(s) section of Manage my area.

For each submission, you will see:

  • the procedure reference number;

  • the submission status (draft, submitted, withdrawn, deleted);

  • the lot (if applicable);

  • the date of the last action performed;
  • the deadline;
  • the submission status (draft, submitted, withdrawn, deleted);
  • the procedure title;

  • the procedure type as well as the step (two-step procedures) or round (negotiated procedures).


Submission status and actions

The Funding & Tenders Portal allows you to view submission(s) with the following status:

  • Draft: a draft has been created by the participant, but not submitted yet;
  • Deleted: a draft has been created by the participant, but has been deleted before being submitted;
  • Submitted: a submission has been created and submitted by the participant;
  • Withdrawn: a submission has been created and submitted, but has been withdrawn by the participant before the expiry of the allocated time for submission.

You can perform different actions based on the status of the submissions and the deadlines for the call for tenders in which you have participated. The actions that can be performed for each status are listed below.


Draft status

Note that until it has been submitted, the status of a submission is Draft

For submissions in Draft status, the PCoCo/CoCo can:

  • View the submission;
  • Edit or resume the submission;
  • Delete the submission.

Under Manage my area, click on My Submission(s) on the left side of the screen.

Click on the Action menu and select View:

eSubmission opens the screen you were in when you left the application.

However, it is not possible to edit the submission at this stage, as you are viewing it in a read-only mode.

Click on the  Action menu and select Edit:

eSubmission opens the screen you were in when you left the application.

You can now edit your submission and resume working on it in eSubmission.

To edit data:

  • You can step back in the process, and carry out a number of corrections, such as replacing a document, deleting your participation to a lot, removing a group member or a subcontractor, etc.
    Click the  Back button to go back to the appropriate step.
  • To remove a group member or subcontractor, go back to the list of parties and click the bin icon next to the party you wish to remove. All data related to it will be deleted.
  • Please note that once you have added a main participant or a group leader (in case of a consortium), it is not possible to change the structure from group submission to sole submission or vice versa.  In case you want to modify the structure, you need to create a new submission, and your draft will be discarded.
  • The group leader cannot be changed once it has been added. You can only edit the related data. If you want to change a group leader, you need to create a new submission, and your draft will be discarded. All data will be lost and all uploaded documents will be deleted.
  • In case of an open procedure, if you wish to remove your participation in a lot, deselect the lot and click . All related data are then deleted. To participate in an additional lot, you can also go back to the screen where you can select lots and proceed from there.
  • To delete a document, use the bin icon on the right:

  • To replace a document, proceed the usual way (drag & drop or browse). One document is loaded at a time.

Click on the Action menu and click on Delete:

You are redirected to the eSubmission portal where you have to provide a justification for the deletion. 

On clicking the delete button a pop up window appears for confirmation.

On clicking Yes the submission is deleted.

As deleting the submission is an irreversible action, there is no a ction listed anymore for this submission on the portal:

The draft submission is deleted from the Funding & Tenders Portal.


Deleted status

You can view all the submissions that have been deleted.

Under Manage my area, click on My Submission(s) on the left side of the screen.

Using the search box on the page you will be able to find all the deleted submissions.

As deleting the submission is an irreversible action, there is no action listed anymore for this submission on the portal.


Submitted status

For submissions in Submitted status, the PCoCo and the CoCo can:

  • Withdraw the submission - You can withdraw a tender / request to participate for a procedure only before the submission deadline has been reached. Once the deadline has passed, this feature is no longer available;
  • View the submission receipt;
  • Manage roles - This last option is available only after the relevant opening session has taken place and is not implemented for open procedures . See details on how to add/remove persons who will also be able to perform actions on your submissions. You cannot manage roles at the level of the submissions linked to an invitation.

Under Manage My Area, click on My Submission(s) on the left side of the screen.

Click on the Action menu and select View Receipt.

The submission receipt is downloaded:

The submission receipt contains the submission ID, submission receipt ID and the date and time of reception (timestamp).

The email notification that your submission has been received, which is automatically sent to you after you have submitted your tender/request to  participate is stored in the  My Notification(s) section. You can access this section by clicking on the bell icon at the top right of the screen after logging in the Funding & Tenders Portal.

Click on the  Action  menu and s elect Withdraw.

In the eSubmission portal, provide a justification for the withdrawal and confirm by clicking the Withdraw button.

Confirm by clicking the YES button in the pop-up message that warns you that this will be an irreversible action.

Once you have withdrawn a submission you will receive a withdrawal notification by email.

It is to be noted that you cannot view, edit or submit the submission any longer. This action is removed from the menu of the Action button.

To view the withdrawal receipt :

  •    Click on Display your submissions in the confirmation message pop-up as shown in the image above
  •    On the Funding & Tenders Portal, in the Action menu next to the withdrawn submission, you can view the withdrawal receipt.

The withdrawal receipt will contain information about the submission ID, withdrawal receipt ID, timestamp and the given justification.


Withdrawn status

You can view all the submissions that have been withdrawn as well as the withdrawal receipt.

Click on the Action menu and  select View Withdrawal Receipt.

The withdrawal receipt will contain information about the submission IDwithdrawal receipt IDtimestamp and the given justification.
