What is the Final (beneficiary) report?
In the context of Erasmus+ decentralized projects, the final (beneficiary) report is an online form that beneficiaries are required to submit to the National Agency (NA), at the end of the project.
The final report serves as a comprehensive overview of the project's implementation, achievements and impact, and it provides an evaluation of the project's objectives, activities, and outcomes, as well as an assessment of the project's sustainability and dissemination.
The final report typically includes information on:
- Project context and objectives
- Project activities and outcomes
- Impact and achievements
- Dissemination and exploitation of results
- Sustainability and future plans
- Financial management and budget implementation
- Lessons learnt and recommendations
The final report is typically submitted within 60 days of the project's end date.
The purpose of the report is to:
- Evaluate the project's success and impact
- Provide feedback to the NA on the project's implementation
- Identify best practices
- Ensure accountability and transparency in the use of EU funds
At what stage of the project lifecycle is the report sent?
The beneficiary receives an email notification with the project submission deadline, after the contract signing is indicated in the NA's Project Management module. The status of the project is Project Ongoing. The beneficiary checks the project information, and provides updated project details, including the details of the realised activities and budget, and then generates and completes the report in Beneficiary module.
Once submitted, the project status changes to Submitted and the report is sent to the National Agency's Project Management module, where the NA reviews the report and can accept, reject, or cancel it. If accepted, the report is assessed, and the project is validated. If there are no issues, the project is finalised, and the National Agency approves the final budget. The project status will then be Finalised, or Terminated with eligible costs.
For projects that end with no incurred costs, the beneficiary can submit a Termination no grant report from Beneficiary module, where the National Agency reviews the report and takes necessary steps, resulting in a project status of Terminated no costs.
