This page explains how a beneficiary can add or edit information regarding exceptional costs for a solidarity project for European Solidarity Corps (ESC30).Exceptional costs are optional.to add and manage Exceptional costs in ESC30 - Solidarity Projects. Only associated persons with edit rights in the project can add and manage the exceptional costs in Beneficiary module while the project is in status Project ongoing. 

Exceptional costs are optional in these projects and do not have to be filled if not required for the project. For details regarding these costs, see the European Solidarity Corps programme guide.

In the example below, we are using a ESC30, Call 2022 project.

Prerequisites

  • Only the contact person of the beneficiary organisation with edit rights on the project is able to perform these actions.

  • The user must be logged in to EU Login account.

  • A grant agreement has been signed for the project, and it is visible in My projects.
    • To update the project it must have the status Project Ongoing.

    Access "Exceptional costs" in the Content menu

    In your project, click on Exceptional Costs in in the Content menu. The Exceptional Costs screen screen is displayed and shows the list of all defined exceptional costs . At firstonce they are added. Initially, the list is empty.

    Add an exceptional cost

    Click on the "Create" button to add Exceptional costs

    Create in the top right corner of the list to add a new exceptional cost.

    The Total exceptional costs grant field is only updated once you have saved the item.

    Call 2024 specifics

    In Call 2024 projects, the Type of exceptional costs field is additionally available. Use the drop-down list to select one of the available options. This field is mandatory.

    After saving, a

    A success message is displayed, the Exceptional cost details screen is closed, and you are redirected to the Exceptional Costs list.

    The newly added exceptional cost is now displayed in the list, and an ID has been automatically assigned to it.

    Edit an exceptional cost

    In the Exceptional Costs screen, select the Edit (pen) icon associated to the cost you would like to edit.

    The Exceptional cost details screen opens for the selected cost item.

    1. The upper left section of the screen shows the initial creator and creation date for the exceptional cost as well as the updater and update date.
    2. Modify the Grant and Description and Justification fields as required.
    3. Click the Save button in the bottom right corner.

    A success message pops to confirm that the details for the exceptional cost have been saved, and you are redirected to the Exceptional Costs list.

    The updated details for the selected cost are shown in the list.

    Delete an exceptional cost

    Click the Delete (bin) icon next to the exceptional cost you wish to delete, then click Yes in the confirmation message. The cost item will immediately be removed from your list.

    grant (1) is displayed below the list. Itis calculated automatically as the sum of all exceptional cost items

    When you create or update a specific exceptional cost, the total grant is only updated once you have saved the changes to your current item.

    Exceptional costs list options

    The exceptional cost list has the following functionalities: 

    • Sorting by column is achieved by clicking on a column header (1st click ascending, 2nd click descending, 3rd click off). An arrow indicating the current sort sequence is displayed next to the selected column header.

    • Browsing: use the browsing options located below the list to change the number of items per page. Use the arrows to browse through the pages.

    Expected Outcome

    • The beneficiary has viewed, added or modified information about exceptional costs for a project.

    In Call 2024 projects, the maximum total amount for Exceptional costs to support the target group participants with fewer opportunities in a project is 7.000 EUR. The relevant reported budget value will be capped to this maximum amount if all Exceptional costs to support the target group participants with fewer opportunities exceed this amount.
