Open "Activities" 

Click on Activities in the Content menu. The Activities screen opens, where you will see an overview of the requested grant and number of participants for each region you specified in the Regional Partnerships section.

In the Content menu there is a subsection for each region and country you added in the Regional Partnerships section. As you add activities, a set of subsections will be added for each country and activity. Each section is marked with a red dot if there are no flows for an activity or if there is other missing mandatory information in that section. The sections will be preceded with a green dot when all mandatory information is filled in.

You might have to use the scroll bar at the bottom of tables or browser window to access all available information on the screens. To gain additional space on your screen you can also close the Content menu using the arrow icon < or work in full screen mode. See How to complete the application form for details.

Add an activity

In KA171-HED application forms, activities are added at regional level. Two activity categories are available:

  • Learner mobility
  • Staff mobility

Each activity category can only be added once for the same country. 

Later during the project implementation, you will be able to specify the activity type (studies/ traineeship/ teaching/ training).

To add the first activity in each region, do the following:

  1. Click on the desired region.
  2. Fill in the available empty row, by selecting the Country and the Activity category from the respective drop-down lists.

The Content menu is updated and displays:

  • the number of added activities totally for all activities and for the selected region and country - in our case 1 for all
  • an additional subsection under the applicable country for the added activity: List of flows, followed by country and activity category

Add the first activity


For each additional activity that you want to add for the same region click on the Add an activity button at the bottom of the region overview screen. A new empty row is added. Fill it in by selecting the Country and the Activity category from the respective drop-down lists.

Add flows to the activity

Click on "List of flows" and "Add flow"

Click on List of flows for the specific country and activity category. This will open the flow overview screen, where you will see the activity summary and the flows, as you add them.

For each flow you wish to add to the activity, click on the Add flow button at the bottom of the screen.

In our example, we have selected to add a flow to List of flows Algeria/Learner mobility:

The flow is added as a card, with the key details to be displayed in the card header, after you fill in the required information.

The Flow number / Flow ID are generated automatically and assigned incrementally to the flows created per region.

Fill in the flow details

Fill in the flow details. The mandatory fields are marked with a red asterisk (*). Certain fields are updated automatically based on the information you provide, and cannot be modified manually. These include the countries of origin/destination, certain duration fields and all grant fields.

The fields to fill in and the applicable rules and restrictions differ based on the selected region and activity category. Please read the onscreen information carefully when filling in the flow details.

Here is an example of an outgoing flow for a Learner mobility activity for the South-Mediterranean region. Note that the flow header has also been updated.

"Activity summary" / "List of flows"

In the Content menu click on the List of flows for a selected country and activity category for an overview of:

  1. the activity summary, including the total number of flows, total number of participants, total budget per activity and total duration.
  2. the list of flows you have added for that particular activity. View the added flows as cards, with key details about each flow.

If all details have been added, the flow cards and the activity card are preceded by a green line. If there are incomplete flows, those flows as well as the activity summary card are marked with a red line. This is also reflected in the Content menu.

Update a flow

In the List of flows for a selected activity category and country, click on the Edit icon next to the desired flow. The flow details are displayed, and you can make the desired changes. The duration and grant fields will be updated accordingly.

Delete a flow

In the List of flows for a selected activity category and country, click on the Delete (X) icon next to the desired flow to delete it. Confirm the deletion by clicking on YES in the pop-up window.

Overview of activities

Click on Activities in the Content menu for a high-level overview.

  1. View the updated Total number of participants and Total grant (EUR) requested per region. Where possible, these values also include numbers/grants calculated based on partial information provided in the other subsections.
  2. In the Action column, clicking on the Details icon for a specific region takes you to the Region overview screen.
  3. In the Content menu view the updated number of activities added for all regions and all countries - in our example 4. The section is preceded by a red cross as long as there is missing information in any subsection. 

High level overview of activities


Click on the Region name in the Content menu for an overview of the activities for a single region.

  1. View the list of countries and the activity categories added for each country in the selected region.
  2. In the Action column,
    1. Click on Details for a specific combination of country/activity to navigate to the List of flows for that activity.
    2. Click on the Delete (X) icon to remove the activity, then click YES in the pop-up window to confirm the deletion.
  3. In the Content menu you can see the total number of activities added for the region. The section is preceded by a red dot as long as any of the subsections contain missing information, otherwise, it is marked as complete with a green dot.

Overview of activities at regional level


Click on the Country name in the Content menu for an overview of the activities for a specific country.

  1. View the added activities as cards, with additional details such as the total number of flows, total number of participants, total budget per activity and total duration.
  2. View the summed up number of participants and Total Grant (EUR) for all activities in that country.
  3. In the cards:
    1. If all details have been added, the card is preceded by a green line. If there are no flows or incomplete flows for an activity, the card is marked with a red line. This is also reflected in the Content menu.
    2. Click on Edit to expand the card.
    3. Click on Details to navigate to the List of flows for the selected activity.
  4. In the Content menu you can see the updated number of activity categories added for that country. The section is preceded by a red dot if it is incomplete or by a green dot if it is complete.

Update an activity

Click on a Region name in the Content menu to update the country or the activity category for a specific activity.

Changes to an activity will affect previously completed flows in that activity and will result in the activity and flows being marked incomplete. In such cases, you have to check and update the flows accordingly. 



Delete an activity

To delete an activity from the list, click on the applicable Region name in the Content menu

Click on the Delete (X) icon for the activity to remove. Confirm the deletion by clicking on YES in the pop-up window.
