This page explains how to manage project contacts in MT+ Data Export.Only contacts from Beneficiary Organisations with edit access to the project can create additional contacts or update existing contacts for the participating organisations. Edit access can be given to other contacts of the coordinating or beneficiary organisation. View access to the project can also be given for KA2 projects. Edit access is required in order to export data from the project and to manage contacts. 

Access can also be removed in the cases where it is no longer necessary.

All contacts from Mobility Tool+ will retain access. Access to your project should be revised periodically.

Detailed Steps


1. Navigate to your "Project List" and select the intended project.

2. In the Content Menu select "Contacts" button.

Click on the Contacts button. The full list of project contacts appears in the content area. You can search contact in the available Search field.



You may select whether you want to view your contacts in Card view (1) or Table view (default) (2) by using the toggle button next to the Search field.

3. To add a new contact

3.1. Click on the "+ Create Contact" button.

3.2. In the Create Contact screen, fill in all required information.

Mandatory fields are marked with a red asterisk (*). Use scroll to see the entire form.

You may also need to indicate the following:

              a. Roles

      1. Legal Representative - This check box is not active. The legal representative details cannot be adjusted in MT+ Data Export. In the exceptional case, where the legal representative details need to be updated (for example change of domain), please contact your National Agency. 
      2. Preferred Contact - If you select this button, the contact(s) will be marked as such in the organisation list as the preferred contact person(s) for that organisation. The preferred contact will receive the automatic notifications when the project data is updated.
      3. OLS

               b. Access to Project: 

      1. No Access
      2. Edit - Edit allows the contact to manage contacts and export project information. 
      3. View - View allows the contact to see contacts and can export project information. 

3.3. Click on Save.

A notification is sent to the newly created contact from the module. 


4. To update an existing contact

4.1. Click on "Actions" button for the contact you wish to edit, then select "Edit". 

4.2. Make the desired changes in the Update Contact screen.

From this screen you can also update the following:

    1. Roles
      1. Legal Representative
      2. Preferred Contact
      3. OLS
    2. Access to Project: the following options are available
      1. No Access
      2. Edit
      3. View

4.3. Click on Save.


When successfully updated a contact a notification will be shortly shown.



5. View or Delete contact

To view or to delete an existing contact, click on the Actions button. A drop-down menu opens. Select the intended action.

No warning message appears prior to the deletion.

When trying to delete a contact that is set as Preferred Contact a warning notification will show after you select Delete.

After you make the necessary changes by editing the two contacts, you can try again to delete the intended contact.
