In order to ensure fast and timely payment of your invoice, you are strongly encouraged to send your invoice electronically, either via the Funding and Tenders Portal (F&T) or via Peppol.

Electronic invoices are processed automatically, significantly reducing the time to pay.

Suppliers sending relatively few invoices per year will find it easier to use F&T to manage their invoices where most of the invoice information is prefilled based on their contract and deliverables. F&T also provides feedback on the process of your invoice, allows to view all invoices sent and in case a Credit Note is required, it facilitates its creation.
Suppliers sending a high volume of invoices or who generate their invoices directly from their back office system may prefer to invoice via Peppol (https://peppol.org/) below you can find detailed instructions on how to do so.

Invoices received as attachments to emails are not considered electronic invoices and just like paper invoice received by post, must be processed manually leading to a longer time to pay and without means to follow the status of your invoice processing or payment.

Instructions for invoicing via Peppol

Peppol allows anyone to communicate with anyone else within the Peppol network, however the External Interoperability Identifier of your organisation must be configured in the backend systems of the EU Entities that will process your invoice.

Certain EU Entities share the same backend system hence this configuration is shared and must be done only once.

You must take the following actions:

This configuration can be performed by the responsible of your organisation (LEAR) by contacting the support team EC-FUNDING-TENDER-SERVICE-DESK@ec.europa.eu who will request to configure your External Identifier in their backend system.

Please note that this configuration is required only once per group. Thus if your organisation is invoicing a contract with EC/DIGIT (group A) you can also invoice via Peppol for a contract with REA (also belongs to group A).

In case your External Identifier changes

You must communicate the change as soon as possible to the Contracting Authority(ies) you are invoicing:
