In the Project Details Details section of the application form  you you are asked to provide further details information on your project and the main foreseen activities of for your project, including the amount of EU grant that you are requesting to implement them. 

This action supports organisations and informal groups of young people to carry out projects allowing young people with fewer opportunities to participate in DiscoverEU on equal footing with their peers. The action offers young persons with fewer opportunities who are at least 18 years old a chance to have a short-term individual or group experience travelling across Europe by rail or other modes of transport where necessary.

At project details level you will first define the planned activities. In the activity details you will define the Number of participants with fewer opportunities and accompanying persons, as well as the activity duration and a short description of the activity.

For each activity you must then detail the planned costs, including travel pass and travel costs for remote travellers, individual support and inclusion support for participants, as well as exceptional costs if applicable. The Budget Summary for each activity provides an overview of the planned costs and the requested EU grant.

  1. The number of activities you want to specify for the selected project depends on your organisation needs and expectations. A minimum of one activity must be added. The maximum number of activities for the selected type of project may be limited. 
  2. Participants must be at least 18 years old at the start date of the project.
  3. There can be maximum two accompanying persons per participant with fewer opportunities.

Open "Project Details" 

Click on Project Details in the Content menu. The Project Details screen opens, displaying an empty activity row.

The Content menu displays a subsection for the first Activity. The red dot indicates that the activity details are not complete.

You may have to use the scrollbar at the bottom of tables or the browser window to access all available information on the screen. To gain additional space on your screen you can also close the Content menu using the arrow icon < or work in Full screen mode. See How to complete the application form for details.

 At least one activity must be added to your application. The number of activities you want to specify for the selected project depends on your organisation's the needs and expectations of your organisation.

In the Project Details screen, the row for the first mandatory activity is already available.

If you plan more than one activity in your project, click on the Add an activity button. A new empty row is added for each new activity, and each activity will have a unique, incremental ID.

Fill in the key details for each activity

In the Project Details screen, fill in the Provide the following details for the first activity (ID A1) and provide the followingeach activity in the section:

  • Activity title
  • Number of participants with fewer opportunities (- maximum 5 per activity)
  • Granted duration for participants with fewer opportunities (- in days - , maximum 30 days per activity)
  • Number of accompanying person(s) (- maximum 10 2 per activityparticipant)
  • Granted duration for accompanying persons (- in days - , this duration cannot exceed the duration for participants with fewer opportunities)

The calculated Total grant (EUR) for this for each activity is then displayed.

The Content menu will update and display the activity title.

If you plan more than one activity in your project, click on the Add an activity button. A new empty row is added for each new activity.

Fill in the details for each added activity as described above.

The Content menu will update to display all the added activities, as subsections under Project Details.

At this stage, all activities in the Content menu are marked as complete, with a green dot. Budget details can be updated and additional costs can be requested if applicable, as explained under Review and add (if applicable) activity budget details.

Review and add (if applicable) budget details per activity

Open the budget details for an activity

There are two ways to access the budget details for a selected activity:

  1. Click on the activity title in the Content menu or
  2. Click the Edit (pencil) icon for the activity in the Project details screen. 


Options to open the activity budget details

The following subsections are available:

  • Budget summary
  • Travel pass
  • Organisational support
  • Individual support
  • Inclusion support for organisation
  • Inclusion support for participants
  • Expensive travel costs
  • Exceptional costs (if applicable)
    • Exceptional costs for expensive travel 
    • Exceptional costs for visa and other entry requirements (for example costs of
    Visa and visa-related costs,
    • vaccinations, medical certificates and other miscellaneous costs)
    • Reservation costs

Each subsection is described below.

Review the "Budget summary"

At the top of the details section the Budget summary for the selected activity is displayed and is read-only.

At first it displays the calculated grants requested based on the general information provided for the activity. This will update dynamically as further details are added in the following subsections.

Travel Pass

In this section you will view the travel pass amount for participants with fewer opportunities and accompanying persons, as well as the Total travel pass amount.

If you have participants arriving from locations that are not connected to the European continental train network and require other transport means to reach the country of the mobility activity, select Yes in the Travel costs for remote travellers drop-down box and fill in the section below.

This subsection is only available if you have selected Yes in the Travel costs for remote travellers (1) drop-down box.

For each person / group that requires remote travelling, click the Add travel costs button (2), then fill in the details in the available row (3):

  • Select if this is Green travel  Green travel will be used
  • Select the travel distance in the Distance Band drop-down box
  • Select the number of participants and accompanying persons that require this type of travel - the number specified originally in the activity details is displayed by default, but it can be changed
  • Provide a Description and justification

The Grant per Participant and the total travel cost costs for the persons requiring remote travel are calculated automatically and displayed. 

If your require to add different types of travel and distance bands for different participants, click on the Add Travel cost button to add a new empty row, and fill in the details as shown aboveit is recommended to fill in a separate rows for each specific travel scenario.

You can remove a travel cost request by clicking the red X to the right of the travel cost details.

Organisational support

The Organisational support budget information is automatically updated when the number of participants with fewer opportunities are added to the activity. The figures cannot be changed here, but the number of participants with fewer opportunities can be modified in the activity section, as described above.

Individual support

The Individual support budget information is automatically updated when number of participants are added/updated for the activity.

The number of participants and accompanying requiring individual support defaults to all participants for the selected activity, but can be changed here.

Inclusion support for organisation

The Inclusion support for organisation budget information is automatically updated when the number of participants with fewer opportunities are added to the activity. The figures cannot be changed here, but the number of participants with fewer opportunities can be modified in the activity section, as described above.

To request inclusion support for participants click the Add inclusion support button, then provide the number of participants requiring support, the total amount requested and a justification. - check if 100% of cost is

Exceptional costs

If any participants require coverage of exceptional costs, such costs can be specified in this subsection. 

To do so:

  • Click on the Add exceptional cost button.
  • A new empty line is added. Select the Exceptional cost type from the drop-down list and fill in the remaining fields. The Requested grant (EUR) is calculated automatically and displayed.

You can select between the following cost types and each cost type can be added more than once using the Add exceptional cost button:

  • Exceptional costs for expensive travel
  • Exceptional costs for visa and other entry requirements
  • Reservation costs

In our example, all types of costs have been added.

Update an activity 

To update the title of an activity or number of participants, access the Project Details section and make the changes in the table as required.

Changes to an activity may result in previously completed subsections of the same activity being marked as incomplete. In such case, you must check the marked subsection and update it accordingly.


Update budget details for an activity 

To update the budget details for an activity, select the activity in the content menu and update the relevant section(s) as described in Activity Details.

Delete an activity

To delete an activity from the list, access the Project Details screen in the Content Menu. 

Click on the Delete (X) button for the activity to remove. Confirm the deletion by clicking on YES in the pop-up window. 

Note

Deleting an activity will remove all entered data for the selected activity in all subsections.
