The Erasmus+ and European Solidarity Corps IT Documentation wiki provides Applicants, Beneficiary Organisations and Experts with documentation and training material for IT tools available to request and manage accreditations and/or grants for the Erasmus+ and European Solidarity Corps programmes, for the Multi-annual Financial Frameworks 2014 to 2020 and 2021-2027.

This page explains the basic functionalities and set up of the Erasmus+ and European Solidarity Corps IT Documentation wiki. 

 

Welcome page

When accessing the Erasmus+ and European Solidarity Corps Guides, the Welcome page opens. It offers links/buttons to help you navigate to the most relevant IT Documentation for Erasmus+ and European Solidarity Corps programmes.

Click on one of the Quick links (1) to open the Applicant GuidesBeneficiary Guides, Expert Guide, New Pages, Using the wiki (this page) and Trending Content.

In the available process graphics displayed below the Quick links, use the tabs (2) to view process diagrams for Application and NA Project Management 2021 - 2027, Accreditation, Accredited Grant and Grant process, as well as for the Erasmus+ and European Solidarity Corps programme from 2024 -2020. The relevant process diagram (3) will display as per your selection.

Welcome page


Options available on all pages

When opening the Erasmus+ and European Solidarity Corps IT Documentation (Wiki), the Welcome page is displayed. From here you can access information on the IT tools used. This wiki has following main sections:

  1. Space tools: Provides information on page activities and settings mainly used by administrators.
  2. Search functionality: Search for wiki pages or words within wiki pages.
  3. Access to various Page options (using the three dots) and Log in option.
  4. Navigation pane: Side bar with page tree.
  5. Content screen.
  6. Translate option that allows you to translate the page using integrated machine translation. Consult the page Translate your Erasmus+ and European Solidarity Corps guides for details on this option.
  7. Footer including Contact link to access information on contacts.

Navigation menu

The Navigation menu on the left hand side offers the possibility to navigate to the different pages and sub-pages. You have the options to:

  1. Expand all/Collapse all so as to expand/collapse the items in the page tree.
  2. Access the Page tree for ease of navigation.

Search functionality

The Search functionality helps you find specific information quickly. Enter a search term in the box and click Search.

The Search results screen will open. You can see the following:

  1. List of all results for the search term. The different colored icons in the results list indicate if the result is a wiki page (blue), or an attached file (for example: black for DOCX files, green for XLSX files, red for PDF files). It is recommended to search on pages for the most relevant content. 

  2. Additional search criteria such as LAST MODIFIED or OF TYPE
  3. Use the browsing options to access additional results.

Page content

Within the Erasmus+ and European Solidarity Corps Guides, there are a number of different types of pages. For example:

  • Main pages: Provide an overview of a topic including links to specific pages.
  • Basic information pages: Provide information on basic functionality of tools.
  • How to pages: Provide detailed step-by-step instructions on how to achieve a specific task in a specific tool.

Depending on the type of page, there may be slight variations in layout and/or design, but the main functionalities and the basic set-ups are similar. The example below shows a typical How to page. On this wiki page you will find: 

  1. Breadcrumbs or the path indicating the hierarchy/location of the page and page title.
  2. Introduction of the topic covered on the page.
  3. Table of contents to navigate quickly to a specific section of the page.
  4. Main content of the page, in the example below step-by-step instructions.
  5. At the bottom of the wiki page you have quick links to Related articles, if for example more detailed explanations for specific topics are required.

How to page


"Page options"

The Page options icon (three dots), located in the top right corner of your screen, provides access to a number of additional functionalities for the wiki page you are currently viewing. The most relevant for you are:

  • Attachments
  • Page History
  • Export to PDF

"Attachments"

Clicking on Attachments opens the list of all attachments such as screen captures, or files attached to the wiki page. You may find that not all attachments are useful to download, as the attachments include the screen captures used on the page.

The Page history option shows a list of versions of the given wiki page.

If you select (1) two versions via the check boxes, you can compare these two versions of the page by clicking on the Compare selected versions (2) button.

After selecting to compare two page versions, the page opens in the comparison view, allowing you to easily identify the changes made: 

  1. Compared page versions. 
  2. Illustration of the type of change. 
  3. Highlighted change/s on the page.

Comparing versions of the same page

If you just click on a previous version in the list, the system will display that version. A message is displayed making you aware that you are looking at an older page version. It offers you the possibility to step through the various versions or to return to the current version.

You can export the page content to a PDF file. After the PDF is generated, you can open the file.

Additional functionalities - with EU Login

It is possible to login to the Erasmus+ and European Solidarity Corps Guides with EU Login:

  1. Click on the Log in option displayed on all pages. 
  2. You are redirected to the EU Login page. Provide your user name and then the password.

After successful login you will see the options Save for later, Watch, Share and your avatar displayed in the top right corner of the screen. Your user name displays if you hover over your avatar.

By clicking on the avatar, additional options become available. The most useful additional options are:

  1. Recently Viewed - quick access to pages your recently opened.
  2. Profile - access to your user profile information.
  3. Watches - quick access to your watched pages.
  4. Settings - access to additional settings, such as Email notifications.
  5. Log out option.

Selecting Recently viewed opens a pop-up window listing your recently viewed wiki pages.

"Profile"

Selecting Profile will open the settings for your profile. It is not relevant to update your details as none of your personal details are used in the wiki nor can be viewed by any other person.

From the Settings, you can check and update features. The general settings are displayed by default.

Even though the Edit button is available, do not use it to make changes to these settings.

In the navigation pane displayed for the settings you can access additional options, such as Password or Email. Only the Email option is relevant for you. See below for details. 

The Password setting, while active here, has no effect on your EU LOGIN password and therefore no effect on accessing the wiki. You access the Erasmus+ and European Solidarity Corps Guides via EU LOGINIf you want to change your password you have to do this on the EU Login page. For further details, please see the EU Login User Guide.

Settings

Email option

From the email option available in Settings you can change email notification settings. 

  1. Under Settings, select Email option. The list of email preferences opens in read-only mode.
  2. Click Edit.
  3. Choose the preferences that best suit your needs. 
  4. Submit the changes.

"Save for later" option

On top of all pages you have the Save for later option. This functionality can be used to create Favourites, which can be accessed easily at a later stage.

  1. On the page you want to save, click the Save for later option.
  2. To view your saved pages, click the profile icon in the right hand top corner of the screen and select Saved for later option.
  3. All saved pages will be displayed as a list and can be opened from this location.

To remove a page from your saved pages access the saved page and click on the Saved for later button.

"Watch" option

If you want to be informed about changes to this wiki you can watch particular pages or the whole Erasmus+ and European Solidarity Corps IT Documentation.

  • Clicking on the Watch icon provides you with both options. It also indicates if you are already watching the page or the space.
  • Select or deselect the desired option by using the Watch button.

There are three different settings:

  1. Not watching space/page
  2. Watching of a specific page
  3. Watching the complete specific space

To view all your watched pages, click the profile icon in the right hand top corner of the screen and select the Watches option. From this overview screen it is also easy to remove spaces and/or pages from the watch list by simply clicking Stop Watching.

"Share" option

You have the possibility to Share pages for instance with colleagues.

  1. This is done easily via the Share button in the top right corner of the page. The window that opens provides the Share Link, the Add people field and the Include a message field.
  2. To add people, simply start typing the name of the person in the Add people field.
    • A list of names will open and you can simply select the person you want to share the page with. If the person you are looking for is not displayed (max. display is 10) specify the name including the first letters of the last name.
    • It is also possible to enter in the Add people field a complete e-mail address, but be careful not to make any mistakes as the system cannot check whether the e-mail address entered is valid or not. In principle you can submit a notification to anyone as long as you enter a valid e-mail address. 
  3. You can also Include a message to the person(s) with whom you are sharing the page.
  4. Click the Share button and a notification will appear about the successful action.

The person will receive an e-mail notification with a link to the page shared and your message.
