What is the topic about?

For KA151, KA152, KA153, KA154 and KA155 projects, in mobility activities, when importing or exporting data templates, users can now handle multiple itineraries (maximum 10), certifications (maximum 3) and languages (maximum 3).

Import-export section

Remember, when the import file contains (sub)rows with itinerary details, all itineraries that were previously in Beneficiary module will be overwritten by the data from the imported file.

When importing mobility activities, fields Data type, Grant Agreement No. and Mobility activity ID are mandatory.

Import

When importing, the data template should support the following values below. For more information, see the wiki page Data dictionary and Mobility Import-Export templates.

Import section

Itinerary

The following fields are mandatory when importing itinerary data:

    • Grant Agreement No. 
    • Mobility activity ID 
    • Receiving Organisation OID 
    • Receiving country
    • Receiving city
    • Funded duration including travel days (in days)

Remember that a maximum of 10 itineraries can be imported per mobility activity ID.

Certification

The following fields are mandatory when importing certification data:

    • Grant Agreement No. 
    • Mobility activity ID 
    • Certifying Organisation
    • Certification type

Remember that a maximum of 3 certifications can be imported per mobility activity ID.

If the file to be imported contains more than 10 itineraries or 3 certifications for the same mobility ID, the import is rejected with the error message "There was a system error during file processing. A maximum of 10 itineraries/3 certificates can be imported per mobility activity." See the wiki page View mobility activity import error logs for more information.

Other Used Languages

When importing, a maximum of 3 languages (separated by comma) can be encoded in the main mobility line Other Used Languages. If more than 3 languages are encoded for a mobility, only the first 3 languages will be imported.

When exporting the list of mobility activities, the possible options for Data type are below.

Export section

Itineraries

The following fields are be populated when exporting itinerary data and the rest of the fields will remain empty:

  • Grant Agreement No. 
  • Mobility activity ID 
  • Receiving Organisation OID 
  • Receiving country
  • Receiving city
  • Funded duration including travel days (in days)
  • Grant per day
  • Individual support

Remember that a maximum of 10 itineraries can be exported per mobility activity.
