This page explains how to manage the list of Project Results in the Beneficiary module. Project Results are the tangible results of a project, such as curricula, pedagogical materials, open education resources, IT tools, analyses, studies, methods, etc.

These can be accessed via the Project Results tab in your project. The Project Results screen allows beneficiaries to list all the Project Results of their project, as well as to detail the cost of production, based on the different types of resources required to produce those Project Results.

The Project Results already approved by the National Agency in their management system will be displayed in this list when the project becomes available, with all amounts set to 0 (zero). These items can be edited to update the amounts. 

Only the Associated persons with edit rights to the project are able to manage the Project Results while the project is in status Project Ongoing.


Steps


1. Access the "Project Results" section from the Content menu

The Project Results section of your project can be accessed from the Content menu, and the screen displays a list of Project Results (1), if any are available. 

Project Results already approved by the National Agency in their project management system will be displayed in this list, with all amounts displayed set to 0 (zero). These results must be updated, see below for details. 

The Total (Calculated) column is updated when results have been added or existing results have been updated, both for each project result in the list, and as an overall amount, at the bottom of the column. The Total (Calculated) amount can exceed the Awarded Budget for project results.

2. Click on the "Create" button to add a Project Result

To add a Project Result to your project, click on the Create button.

2.1. Fill in the information in the Project Result section

In the Project Result screen, provide the required information. Mandatory fields are marked with a red asterisk * and a Value missing warning is displayed under the field if the information is not provided. 

  • Result Identification - drop-down list to select from pre-defined values ranging from R1 to R999; the selected ID must be unique inside the project.
  • Title - free text field to add the title of the project result.
  • Result Type - drop-down list to select the type of project result; only one option can be selected. 
  • Start and End date - use the calendar picker to add the start and end dates; the dates must be within the project duration.
  • Description of the Project Results - text field to provide a detailed description of the project results.
  • Available Language - drop-down list to select the language(s) in which the results will be available, multiple selection is possible.
  • Available Media - drop-down list to select the media type of the result, multiple selection is possible.

2.2. Click on the "Save" button to add the Project result to the list

When you have finished adding the mandatory information, the Save button will become active. Click on it to save your changes. You will be returned to the Project result list, where a success message briefly displays in the bottom-right area of the screen, and you can see your newly-added project result.

You can now continue to the next step, adding the organisation details.

3. Add participating organisations to a result

Make sure the organisations you want to add to project results are available in your project, in the Participating organisations section of the project. If an organisation is not yet available, you must add it from the Participating organisations section.

3.1. Click on the "Edit" icon in line with the Project result to update

3.2. Click on the "Create" button to add organisation details

Navigate to the Participating Organisations section of the result details screen. Click on the Create button to add a new organisation to the project results.

The Organisations section will only become available at the bottom of the Project Result screen once you have filled in and saved the Project Result section (in case of newly-created project results).

For project results already available (which have been transferred from the NA project management system, if any), the Organisations section will be available on the screen. For these project results, you must also check the available result details. You can add any missing information and/or update information already filled in.

3.3. Fill in the information in the Organisation screen

In the Organisation screen, provide the required information. Mandatory fields are marked with a red asterisk *

  • Organisation - drop-down list to select an organisation from the participating organisations.

    The same organisation can only be added once to each Project Result.

  • Is Leading  - tick box to mark the organisation as Leading for the project result; only one organisation can be the leading organisation for a Project Result.
    • a warning displays if there already is an organisation marked as 'leading' for the result.
  • Country of destination - automatically filled in once you select the organisation; read-only.
  • Managers - enter the number of Working days; the fields Daily rate and Managers (Total Calculated) will be updated automatically; these fields are read-only.
  • Teachers/Trainers/Researchers - enter the number of Working days; the fields Daily rate and Teacher (Total Calculated) will be updated automatically, these fields are read-only.
  • Youth Workers - enter the number of Working days; the fields Daily rate and Youth workers (Total Calculated) will be updated automatically, these fields are read-only.
  • Technicians - enter the number of Working days; the fields Daily rate and Technician (Total Calculated) will be updated automatically, these fields are read-only.
  • Administrative Support staff - enter the number of Working days; the fields Daily rate and Administrative Support Staff Total (Calculated) will be updated automatically, these fields are read-only.

In the Total (Calculated) field at the bottom of the screen, you can view the sum total of all the calculated amounts on the screen.

Click on the Save button to retain the provided information.


Enter the organisation costs

Additionally, two tick boxes, or flags, are available:

3.3.1. Force majeure flag

Force majeure is:

An unforeseeable exceptional situation or event beyond the participant's control and not attributable to error or negligence on their part.

Force majeure situations can arise anywhere and at any time, and include factors such as sudden disease, accidents, death, earthquakes and other causes.

In a project, check the Force majeure flag to indicate that a project activity (i.e. mobility activity, group activity, participations, events, transnational project meetings, etc.) is considered as a case of force majeure.

When you check this flag (tick box), certain fields and grants for the activity may be affected and must be checked and/or updated.

In addition, you must fill in the additional Force majeure explanations field, describing the facts that prove the activity should be accepted as a case of force majeure.

The Total (Calculated) fields (3) for the available sections become editable and you can provide the total as per your needs.

3.3.2. Covid-19 Affected flag

Organisations participating in Project Results having an end date within 2021 or later, the Force Majeure flag checked, and for which the provided Force Majeure Explanations contain keywords such as "corona" or "covid" (1) will automatically have the COVID-19 Affected flag set (2). It is not possible to tick the Covid-19 affected box manually. 

The Total (Calculated) fields (3) for the available sections become editable and you can provide the total as per your needs.

3.4. Click on the "Save" button to add the Organisation to the list 

Once all information regarding the organisation has been added, click on the Save button. 

The organisation is now displayed in the list of Participating Organisations in the Project Result screen. The Total (Calculated) column is updated based on the entered information.

Once items are added to the list, the following icons become available:

  1. Delete - click on this icon in line with the item you wish to delete, and follow the onscreen instructions.
  2. View - click on this icon to open the details of the selected item in read-only mode. All fields are greyed out and you will not be able to change any details.
  3. Edit - open the details of the selected item in edit mode. Make the desired changes, then click on the Save button at the bottom of the screen to save the updated information.

Follow the instructions above to add more organisations to the Project Result, if required.

4. Return to the list of project results 

Click on the Back button at the bottom of the screen, or click on the Project Results in the Content menu to return to the list of project results.

5. The Project Result is available or updated in the list

The newly-added Project Result is displayed in the list, with all the information provided. The Total (Calculated) column is updated by summing up the calculated amounts for the individual project results. Similarly, Project Results that have been transferred from the NA project management system and that have been updated will display the updated values, based on your changes.

Follow the instructions above to add more results to your project, if required.

Once items are added to the list, the following icons become available:

  1. Delete - click on this icon in line with the item you wish to delete, and follow the onscreen instructions.
