In the Activities section of the application form you are asked to provide details about the activities you plan to organise and the EU grant amount you are requesting to implement them

The following activities can be implemented in ESC51-VTJ Volunteering projects:

  • Individual Volunteering
  • Volunteering Teams - for teams of at least 5 members

Once you have defined the activities, you can start filling in more details about the participants, travel, request exceptional costs, etc.

An overview of the budget for each activity as well as totals for all activities are also available in this section. Full budget details are displayed in the Budget section of the form.

Before you start

  • The Quality Label section must have been completed, indicating at least the project start date and duration.
  • The Applicant Organisations section must have been completed, by adding all participating organisations.
  • The Objectives and Activity Plan section must have been completed.

Click on "Activities"

Click on Activities in the content menu. The Activities screen opens, where you will be able to add activities to your project and related exceptional costs.

At the top of the screen you will find a section with information on certain components of the activities to fill in. Read this section carefully before you begin adding activities, as the instructions will inform your choices while filling in the various fields.

By default, an empty card for the mandatory first activity is displayed in the content area under the information section. You can add more activities - see below for further instructions.

The number of currently defined activities is displayed in the Content Menu and at the top of the screen.

Add activities

Click on "Add activity" 

An empty card for the mandatory first activity is available by default in the Activities screen. If you plan to carry out more than one activity in your project, click the Add activity button for each additional activity. A new empty card is added for each activity.

Each activity card contains a header and a number of fields to fill in.

Each card can be expanded and collapsed, respectively by clicking the Edit icon or the Down arrow in the right corner of the header. By default the card for the first activity is expanded to show all details.

The header will display key details about the activity once all the information is filled in. It also includes an Edit (pen) icon, a Delete (X) icon, and an arrow to expand/collapse the card details. The elements in the header are always visible, also when the card is collapsed.

Fill in the activity details 

Open the Activity card for the desired activity and fill in all fields. Mandatory fields are marked with a red asterisk (*). Refer to the explanations in the Info column for details about the fields to fill in.

Take note of the following:

  • Activity type - the following activity types are available for ESC51 and can be selected from the drop-down list:
    • Individual Volunteering

    • Volunteering teams 
  • Activity reference -is generated automatically once you have selected the activity type. 
  • Priority order - select the priority order from the drop-downlist. For the first activity, Priority 1 is listed by default. This can be changed once you have added more activities.
  • Green travel - check this box if the transport means used is considered green (sustainable). Specific rates will apply during the grant calculation.
  • Preparatory visits - check this box if the current activity requires organising a preparatory visit.
  • Number of persons taking part in preparatory visits - if you have previously checked the Preparatory visits box, fill in the number of participants (up to 2 per participating organisation) involved in the preparatory visit.
  • Policy priorities and thematic areas - select one ore more policy priorities and thematic areas from the drop-down list, if applicable.

Fill in activity details

Ensure that all the details you have provided meet the requirements for each field as per the Programme guide. If a requirement is not met, an error message displays. You have to correct such errors.

The totals for all added activities are displayed at the bottom of the table.

In our example, the totals have been updated and found complete and valid for two activities:

Add Exceptional costs

At the bottom of the page you can add details about expected additional costs of one or more of these types:

  • Exceptional costs for expensive travel
  • Exceptional costs for financial guarantee
  • Exceptional costs for visa and other entry requirements 
  • Exceptional costs to support the participation of young people with fewer opportunities

To add an exceptional cost, do the following:

  1. Click the Add a cost item button at the bottom of the activity list
  2. Select the Activity Reference of the activity to which the added cost is linked.
  3. Select the Cost type from the drop-down list
  4. Fill in all the required details for the selected exceptional cost.

The Eligible Amount is calculated automatically based on the Estimated Cost and the Support rate (varies depending on the cost type).

The totals at the bottom of the list are also updated.

In our example, we have selected Exceptional costs to support the participation of young people with fewer opportunities for the activity type Individual Volunteering, with the reference VOLIN01.

Update or delete a cost item

To update a cost item, click on the dedicated Edit (pencil) icon, then make the desired changes. The changes are saved immediately.

To remove a cost item from the list:

  1. Click on the dedicated Delete (X) icon. 
  2. Confirm the deletion by clicking on the Delete button in the confirmation pop-up window. Click on No to cancel the deletion.

Update or delete an activity

To update an activity, click on the dedicated blue Edit (pencil) icon, then make the desired changes. The changes are saved immediately.

To remove an activity from the list:

  1. Click on the dedicated Delete (X) icon.
  2. Confirm the deletion by clicking on the Delete button in the confirmation pop-up window. Click on No to cancel the deletion.


Once you delete an activity, any related information previously filled will automatically be removed, while the related exceptional costs items will become incomplete, as the Activity reference is removed.

Once you have correctly completed all sections and subsections, the section is marked with a green check.
