"Status", "Active from" and "Active until" dates for Consortium members in projects

In KA121, KA131, KA171 projects for all call years, beneficiary users can check in the list of participating organisations the Status, Active from and Active until dates for each organisation that is a consortium member

Information on the Status, Active from and Active until dates of a consortium member is read-only in the Beneficiary module.

This information comes from the National Agency's project management system and can only be changed in this system. If the Status, Active from or Active until dates are changed, they are automatically updated in the Beneficiary module.

Consortium members that have been deleted by the National Agency during the Selection and contracting phase, meaning before the grant agreement was signed and before the project is available in the Beneficiary module, will not be available in the project.

An organisation can be in status Active, Withdrawn or Deleted

Active from is the date when the organisation became active in the project. Active until is the date when the organisation stopped being active in the project.

Unless a specific Active from/Active until date for a consortium member was defined in the National Agency's project management system, the Project Start Date and Project End Date are the default Active from and Active until date. The organisation status will be Active.

When adding or updating Mobility activities (KA121, KA131, KA171), Group mobility activities (KA121) or Blended Intensive Programmes (KA131), if consortium members involved in these activities are in status withdrawn or are deleted from the project in the NA's project management system while the activity is still ongoing, an error message is displayed under the organisation name in the relevant details screen, and the status of the activity becomes Draft. Also, when creating/editing activities, if consortium members involved in activities are not active throughout the duration of the activity, an error message is shown under the organisation name and you will be prevented from saving the activity.

Impact on activities

When adding or editing mobility activities in KA121, KA131, KA171 projects and group mobility activities in KA121 projects, the duration of the activity must be within the validity (Active from and Active until) dates of the consortium member participating in the activity as Sending or Receiving organisation:

  • The Active from date of the consortium member must be earlier than or equal to the Activity start date.
  • The Active until date must be equal to or later than the Activity end date.

An error message will display in the relevant activity details screen, if these conditions are not met.

Here is an example of the error message in the From-To section of the mobility activity details in a KA121 project.

Impact on Blended Intensive Programmes in KA131 projects

When editing Blended intensive programmes in KA131 projects, the physical start and end dates of the programme cannot be outside the validity range (Active from and Active until) of the consortium member(s) involved in the programme.

  • The Active from date of the consortium member must be earlier or equal to the Physical start date.
  • The Active until date must be equal to or later then the Physical end date.
